Election Policy

This document clarifies and lays down the agreed method by which elections for the group are run together with any other voting.

1/ The deadline for candidates for elections to notify the secretary they wish to stand is 3 weeks prior to the AGM .

2/ The notification should include which position(s) they wish to stand for and up to 60 words for each on why they wish to stand, these will be distributed to the membership prior to the commencement of the meeting should a vote be called for.

3/ Should there be fewer or equal number of candidates standing for positions then no vote will be called for and nominations will be accepted from the floor for any vacant seats.

4/ Should there be more candidates than positions there will be a vote.

5/ All members at the time the notice of the AGM is sent out are entitled to vote. Any memberships received after the AGM notice being sent out will not be processed until after the AGM and will be entitled to vote at the next AGM.

6/ A member of the group will be appointed as the presiding office in charge of election by the chair and will be responsible for overseeing the process and the count.

7/ Voting will take place on all matters by a public show of hands

8/ Members must vote in person.

 

9/ Joint members are entitled to one vote each.

10/ Elections will be the final item of business and will be in the following order, Chair, Vice-Chair, Hon. Secretary, HonTreasurer, Committee Members. Candidates will be presented in two groups, by incumbent and then new candidates, candidates will be presented in alphabetical order of surname within each grouping.

11/ A record each vote and the number of votes for and against will be made in the minutes
